Microsoft Teams AI Features Enterprise Guide
Microsoft 365 Copilot in Teams + Teams Premium adds AI features that materially change how meetings are run. This guide covers the full feature set + the governance overlay every enterprise needs before broad enablement.
Frequently Asked Questions
What are the Teams AI features?
Four categories. (1) Microsoft 365 Copilot in Teams — Copilot chat, meeting summarization, action-item extraction, Q&A over the meeting. Requires Microsoft 365 Copilot license. (2) Intelligent Recap (part of Teams Premium) — AI-generated meeting recap with chapter markers, keyword-based navigation, missed-meeting summarization. Requires Teams Premium license. (3) AI-generated meeting notes and follow-ups (part of Teams Premium + M365 Copilot). (4) Live transcription + translation, sensitive keyword detection, watermark protection — Teams Premium security + AI features. The mix of Teams Premium ($10/user/month) + Microsoft 365 Copilot ($30/user/month) covers the full AI feature surface.
Should we enable meeting recording + transcription by default?
Depends on vertical. Non-regulated organizations typically enable default-off with the option for organizers to enable per-meeting. Regulated organizations (healthcare, financial services, federal) often default-off with restrictive DLP policy — some meetings must NOT be recorded (attorney-client-privileged, HR investigation, board privileged). Default-on tenant-wide creates compliance exposure that most organizations discover the hard way. EPC Group's pattern: default-off + meeting-organizer-enable + sensitivity-label-driven auto-disable for meetings tagged Confidential or above.
How do recordings + transcripts integrate with governance?
Meeting recordings + transcripts are stored in OneDrive (1:1 and small meetings) or SharePoint (channel meetings). They inherit the standard OneDrive/SharePoint retention and sensitivity label posture. DLP for Copilot policies apply to Copilot-generated meeting content. Purview eDiscovery Premium can search transcripts by keyword + participants. Retention policy determines how long transcripts live — 1 year default, adjustable up to indefinite for content on legal hold. Deleting a recording does NOT delete the transcript automatically — that is a separate governance decision.
What is Teams Premium and when is it worth it?
Teams Premium ($10/user/month) adds: Intelligent Recap, AI-generated meeting notes, live translation, advanced webinar features (registration + reminders + integration), Virtual Appointments (external scheduling), advanced meeting protection (watermarking, sensitive content detection), and Town Hall broadcast features. Best fit: enterprises with 500+ named seats where AI-assisted meeting productivity + advanced webinar + external scheduling combine to justify. Poor fit: small orgs where the AI features can be met by Microsoft 365 Copilot alone, or orgs primarily using Teams for chat + 1:1 calls.
How does this fit into a broader Copilot deployment?
Teams-specific AI features are a subset of the full Microsoft 365 Copilot deployment. EPC Group's pattern: the 30-Day Copilot Readiness Accelerator (see /answers/30-day-copilot-readiness-accelerator) covers the tenant-wide governance posture; the Teams-specific overlay adds: (1) recording + transcript retention + sensitivity policy, (2) Teams Premium licensing decision by BU, (3) meeting-etiquette training for AI-assisted meetings, (4) governance for who can enable Intelligent Recap on which meetings. Small 1-week engagement bundled with the standard Copilot readiness work.
