1.0 EXECUTIVE SUMMARY AND KEY INFORMATION
1.1 OBJECTIVE
Office of the Texas State Chemist ("OTSC’”) is looking to upgrade their legacy on-premises Exchange email infrastructure,
to new versions of Windows server systems. This will specifically involve moving the existing Exchange Server 2013 on
Windows 2012 OS to Microsoft Exchange 2019 on Windows 2019. To ensure successful transition, the organization is
looking to collaborate with a professional Microsoft technology partner, and has engaged EPC Group, to provide expert
consulting and development services in the areas of migration planning, migration execution, and post-migration
support. Below is an outline of the current environment and the expected outcome, as available within the hours
procured:
1.1.1 CURRENT ENVIRONMENT:
1. Exchange Server 2013 system hosted on Windows Server 2012
2. Approx. 55 users
3. Approx. 150 GB mailbox content
1.1.2 DESIRED OUTCOME:
1. Perform complete email migration — Migrate the existing mailboxes and all email-related data from source
(Exchange Server 2013) to target environment (Exchange Server 2019).
2. Stand up an optimal Exchange Server 2019 on-premises environment that will meet the exact needs of OTSC.
3. Execute a swift transition and maintain email continuity throughout the migration process.
This Statement of Work (SOW) has been developed for OTSC and sets forth sets forth the objectives, deliverables, and

1.2 SERVICE OVERVIEW
EPC Group proposes the following key items to ensure successful project delivery, as available within the hours
procured:
1. Technical discovery and assessment — EPC Group will conduct a detailed technical discovery and assessment
exercise (using custom EPC Group tools). This will be aimed at establishing the following, as available within
the hours procured:
a. Definition of the technical requirements.
b. Identification of issues that may hinder migration and identify any opportunities that may be leveraged.
c. Definition of steps for source and target infrastructure preparations prior to migration.
d. Development of a migration roadmap inclusive of migration planning, migration execution, testing, end-
user training, communication strategy, and technical support following go live.
2. Custom Exchange migration tool — For mailboxes and email-related data migration, EPC Group will deliver a
seamless migration experience by utilizing a custom EPC Group Exchange migration tool. The tool is based on a
“copy and paste” model, where all user, mailboxes, and associated data items are moved from legacy Exchange
Server platforms and transitioned securely without changes into newer Exchange platforms.
