Six enterprise SharePoint Premium use cases
EPC Group has shipped SharePoint Premium across legal, finance, HR, claims, matter management, and compliance functions. Each use case has a different document mix, a different model strategy (prebuilt versus custom), and a different ROI shape. Most enterprises start with contract review or invoice processing because the per-document ROI is the most tangible.
Use case 1 — Contract review + redline acceleration
The contract review use case is the most common SharePoint Premium adoption pattern in regulated enterprises. EPC Group trains a Syntex content understanding model on the customer master service agreement template, statement-of-work template, non-disclosure agreement template, and vendor agreement template — five to ten labeled examples per type — and applies the model to the contract intake library. Each incoming contract is auto-classified by type, has key fields extracted (parties, effective date, term length, auto-renewal clause, indemnity caps, governing law, payment terms), and triggers a Power Automate flow that routes the contract to the legal reviewer, the finance reviewer, or the compliance reviewer based on extracted risk signals. The legal team works on a queue of pre-classified, pre-extracted contracts instead of opening every PDF cold. SharePoint Premium e-signature handles the signing workflow on internal-counterparty contracts; external counterparties route through the existing DocuSign or Adobe Sign integration. Average per-contract handling time drops from 60 to 90 minutes to 15 to 25 minutes. The audit-trail evidence package — extracted fields, reviewer attestations, signed copy, retention label, Purview audit log — is regulator-ready.
Use case 2 — Invoice processing + AP automation
The invoice processing use case anchors on the Syntex prebuilt invoice extractor — a Microsoft-trained model that recognizes invoice line items, totals, tax, vendor, invoice number, and due date out of the box on the vast majority of vendor invoice formats. EPC Group connects the extractor to the customer accounts-payable inbox via Power Automate so that emailed invoices land in a SharePoint library, are auto-extracted, and post into Dynamics 365 Finance or Business Central as draft AP entries for human review and approval. Three-way match (purchase order, receipt, invoice) runs as a Power Automate flow against Dynamics; exceptions route to an AP analyst with the extracted fields side-by-side with the original document. High-volume AP departments processing 100,000-plus invoices per year typically see 60 to 75 percent reduction in manual data entry and 40 to 50 percent reduction in cycle time. The pattern is the textbook Power Platform + SharePoint Premium win because the ROI math is unambiguous and the prebuilt model removes the cold-start training cost.
Use case 3 — HR document classification + employee record indexing
The HR document classification use case is the volume play. A Fortune 500 HR department holds millions of employee documents across active employees, separated employees, applicants, contractors, and beneficiaries — I-9s, W-4s, offer letters, performance reviews, disciplinary documents, benefits enrollments, medical accommodations, training certifications. EPC Group trains Syntex content understanding models per document family and applies them to the central HR document library — every document is auto-classified into the correct subfolder, has the employee ID extracted and linked to the Workday or SAP SuccessFactors record, and has the correct retention label applied automatically based on document type (I-9 to retention required, performance review to retention required, accommodation request to confidential PHI retention). Manager and HR business partner search experience improves dramatically because faceted search by employee + document type + date range works instead of full-text scrolling. The classification model also catches misfiled documents — an offer letter dropped into the performance review folder gets flagged.
Use case 4 — Insurance claims + healthcare prior authorization
The insurance claims use case combines Syntex content understanding with OCR for paper-claim intake. Property and casualty insurers, health payers, and workers-comp carriers all run a hybrid digital-and-paper claims intake stream — adjusters receive faxed accident reports, scanned medical records, photo evidence, and structured electronic claims simultaneously. EPC Group routes the entire stream through a SharePoint Premium intake library — OCR catches the paper, content understanding classifies and extracts (claim number, policy number, claimant ID, date of loss, line-item charges, diagnosis codes), and Power Automate routes the claim to the right adjuster queue based on severity and line of business. The same pattern works for healthcare prior authorization — provider-submitted clinical documentation flows through OCR + content understanding to a payer review queue with extracted ICD-10 codes and CPT codes. EPC Group has shipped this pattern in payer environments with HIPAA-aligned Purview governance, BAA coverage on every Microsoft surface touched, and PHI sensitivity labels enforced at every extraction step.
Use case 5 — Legal case file management + matter intake
The legal case file use case targets law firms, in-house legal departments, and the litigation-discovery side of enterprise compliance. SharePoint Premium content understanding classifies incoming matter intake — pleadings, discovery responses, expert reports, deposition transcripts, exhibits, court orders, regulatory correspondence — and extracts case number, party names, court, judge, filing date, and document type. The matter dashboard surfaces all linked documents in a single navigable view rather than the labyrinthine folder structures most legal teams inherit. eDiscovery Premium (a Purview surface) layers on top for litigation hold, in-place preservation, custodian management, and review-set tagging — the combination of SharePoint Premium for matter intake plus Purview eDiscovery Premium for litigation hold is the Microsoft-native answer to the legal hold + matter management bundle that historically required Relativity, iManage, or NetDocuments.
Use case 6 — Compliance attestation + audit evidence assembly
The compliance attestation use case targets the audit and second-line-of-defense functions. SOX, SOC 2, HIPAA, FedRAMP, CMMC, and ISO 27001 audits all require evidence packages — control narratives, attestation signatures, test-of-controls workpapers, exception logs, remediation evidence. EPC Group designs a SharePoint Premium attestation library where each control owner uploads evidence per attestation cycle; Syntex content understanding classifies the evidence by control area and control number; SharePoint Premium e-signature collects attestation signatures from control owners and reviewers; Purview Records Management applies the retention label required by the audit standard. The auditor receives a single SharePoint site link with structured access to every control’s evidence, eliminating the email-and-spreadsheet ritual most enterprises currently run. This is also where the Purview audit log, the e-signature audit trail, and the retention label evidence become a regulator-ready package signed off by the chief compliance officer.
